Job Description

Position Summary

The Accounting / Administrative Assistant will be responsible for keeping accurate accounting records on a daily basis and will work as an integral part of the accounting team. They are also responsible for daily administrative duties.  All direction will be in line with company strategic and corporate goals.  This role includes problem solving, accounting knowledge, customer service and support of administration staff and various managers. 

Specific Accountabilities:
  1. Accounts Payable and Accounting Support (50%) 
    • Ensure that all vendor invoices are approved and coded with appropriate general ledger account number and entered into the system on a daily basis
    • Follow up on all vendor invoice discrepancies
    • Create spreadsheets for each company credit card statement and match correct receipts to appropriate credit cards as needed
    • Generate cheque runs, match invoices to each of the cheques and mail them to the    appropriate vendors
    • Other miscellaneous accounting support as required
  2. Accounts Receivable (20%) 
    • Assist with answering inbound accounting queue calls and taking customer telephone payments and assisting customers with accounting inquiries
    • Assist with entering customer cheque payments as needed
  3. Office Administration (30%)
    • Responsible for incoming reception calls and messages
    • General reception duties including greeting customers, scheduling meetings, booking boardrooms etc.
    • Courier point of contact for all incoming and outgoing deliveries
    • Responsible for reporting all building maintenance issues via tenant portal
    • Responsible for ordering all office supplies for both head office and the warehouse
    • As required, assist staff and managers with administrative requests
    • As required, run errands for office meetings and/or office kitchen supplies
    • Assist Sales team with packing of TAM (Territory Account Manager) shipments weekly and filing/purging of picking tickets
    • Responsible for scheduling/organizing quarterly Health and Safety Committee meetings
    • Assist Business Administration Manager with organization and coordination of Liabililty Certificates retrieval from Vendors.


  • Post Secondary education in Accounting or equivalent experience combined with 2-3 years of success in a professional environment
  • Strong computer and organizational skills
  • Minimum 1 year office administration experience is preferred
