Administrative Assistant – Temporary (9 month Contract)

Key focus:

  • Customer service and secretarial duties for the main reception area of our company.
 

We require an administrative assistant for a 9 month temporary contract who will be responsible for:

  • Providing general information and exceptional customer service in person and by phone, while performing clerical duties and maintaining front desk security.
  • Provide administrative support to all departmental members.
  • Greeting visitors coming into the facility and direct them to the appropriate contacts or services.
  • Serve as primary contact for scheduling and supporting meetings located in the office boardrooms.
  • Arrange guest amenities to include lunches, refreshments, coffee, etc.
  • Prepare travel arrangements with a keen attention to detail, where necessary.
  • Operate telephone system to answer and direct phone calls made to the main line.
  • Maintain and monitor office supply inventory levels and place orders as required.
  • Facilitate collection and distribution of all incoming and outgoing mail, including postage and courier reception and delivery.
  • Perform other duties as assigned.
 

Do you have?

  • College diploma in office administration
  • 1 -2 years relevant experience in customer service and administrative support experience
  • Understanding of health & safety initiatives throughout the facility, ensuring safety, housekeeping and quality standards are maintained
 

Successful candidate will also have:

  • Demonstrated competence in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
  • Excellent verbal, written and interpersonal communication skills and confidence in dealing with all levels of an organization
  • A pleasing personality with excellent people skills and the ability to work with vendors and customers
  • Highly organized and good follow-up skills
  • Strong attention to detail and proofreading abilities
  • Able to work effectively within a team environment
  • The ability to handle a variety of tasks efficiently
