OFFICE ADMINISTRATION AND CUSTOMER SERVICE
Fifteen Month Contract Position – St. Thomas
Dowler-Karn Limited is family-owned and operated business since 1943.  We are a benchmark industry leader, distributing energy products (Propane, Fuels and MOBIL Lubricants) within Southwestern Ontario including residential, agriculture and commercial customers.

Dowler-Karn Limited is currently seeking to fill a full-time, contract position for Office Administration and Customer Service, to work in its St. Thomas head office.  Reporting to the Credit Manager, the successful applicant will perform a number of duties in support of branch operations including, but not limited to: 
 
  • Set up and maintain new customer account information.
  • Communicate with sales and service staff to ensure accurate pricing, scheduling and equipment installation details.
  • Input relevant data pertaining to service work orders.
  • Coordinate with dispatch to ensure the prompt delivery of product for new tank installations.
  • Set up tank / equipment inspections, where applicable.
  • Update customer accounts with any applicable tax exemptions and update as needed.
  • Maintain records to reflect the addition / removal or other amendments pertaining to products and equipment.
  • Provide excellent customer service, building quality relationships with customers.
  • Answer and manage incoming calls on a multi-line phone system.
  • Ensure all customer enquiries are addressed and handled professionally, leaving the customer with a positive resolution.
  • Strong communication and customer service abilities to effectively build positive relations and collaboration with customers and peers.
  • Accept and process customer payments; provide information about electronic payment options.
  • Maintain stock of office supplies and place orders when necessary.
  • Provide support and problem resolution via telephone, e-mail, and other vehicles of communication.
  • Perform other administrative assigned tasks and duties necessary to support branch operations.
** Must be able to participate in a Saturday morning shift on a rotating basis.

  • Minimum of a grade 12 diploma is required, although some post-secondary education would be considered an asset.
  • Strong organizational, administrative and customer service skills along with confidence as a front line customer service person.
  • Above average comfort level with computers is necessary including MS Office functions.
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Excellent listening skills; able to effectively communicate both verbally and in writing.
  • Personable and confident individual with good time management skills, who can work well under pressure.
  • Strong attention to detail and a willingness to learn.
  • Self-motivated, with high energy and an engaging level of enthusiasm.
  • Ability to respond quickly in a dynamic and changing environment.
  • Ability to work individually as well as part of a team.
