Job Description

Nothers Signs & Recognition, located in London, Ontario, is looking for a Shipping Receiving Coordinator with experience in shipping, receiving, building and equipment maintenance.  This is a full-time position with an hourly rate of $18.00 - $20.00 based on experience.
The Shipping Receiving Coordinator is responsible for ensuring that orders are shipped and received in a timely manner, organizing offsite production services, coordinating all delivery services in and out of town as well as maintaining/monitoring all company vehicles and equipment based on established schedules.
Core responsibilities include

  • Daily arrangement of on time shipping of orders to customers though courier services. e.g. FedEx, Purolator, UPS, etc.
  • Verifying and keeping records in Lakeshore on incoming and outgoing shipments and preparing items for shipment: Compares identifying information and counts, weighs, or measures items of ingoing and outgoing shipments to verify information against bills of lading, invoices, orders and other records.
  • Determines method of shipping, utilizing knowledge of shipping procedures, routes and rates.
  • Affixes shipping labels on packages as required.
  • Prepare and print shipping labels corresponding to customer, courier needs.
  • Assemble and fill boxes and other packages with items that need to be shipped as required.
  • Track inventory of supplies and report needs to Purchasing Coordinator.
  • Process orders based on customer or best shipping options for on time delivery ensuring best pricing from couriers
  • Ensure product is packaged and all information is documented correctly before it leaves the building.
  • Handle or trace any issues or claims directly with courier services for damaged or lost orders.
  • Coordinate shipping of large key account orders with Account Managers.
  • Receiving of incoming shipments and verifying/recording items received against orders and artwork e.g. damaged, shortages, incorrect product and/or from artwork provided, etc.
  • Report any issues with product received with purchasing and sales.
  • Distribute, move and store incoming items as required.
  • Invoice outgoing orders and email to Sales and Account Managers for forwarding ensuring that correct shipping charges have been added.
  • Maintain a clean and safe work area.
  • Coordinate and schedule services with JP to ensure all materials for orders are provided and completed on time and accurately
  • Prepare order forms and spreadsheets according to sales order requirements and verify all material are ready e.g. sublimated plates
  • Deliver materials to JP for order completion.
  • Communicate timelines for competed orders with JP and arrange pick up.
  • Check orders from JP before releasing to customer.
  • Help in production as needed.
Building and Equipment Maintenance
  • Establish a detailed maintenance schedule for all company equipment and inside/outside property.
  • Perform/monitor regular checks and cleaning of all production equipment with operators including but not limited to compressors, laser machines, domer, engraving machines, Direct Color Printer, Mimaki, sandblaster, beveller, laminator, all saw equipment and panograph.
  • Perform regular building maintenance check and coordinate any service related to general maintenance required if unable to do inhouse.
  • Keep detailed logs of all maintenance tasks.
  • Perform seasonal maintenance duties and work with contractors, including but not limited to snow/ice removal from walkways, loading docks, entrances and salting, garbage pickup and weed removal around building.
  • Participate in monthly health and safety inspections and maintain and restock all first aid kits supplies.
Delivery and Vehicle Maintenance
  • Generate delivery and install report weekly and prepare schedule in advance for all orders.
  • Organize drivers and installers weekly for deliveries and installs as required.
  • Verify information for deliveries and installations with Account Managers e.g. contact names, address, cell numbers, hours of operation.
  • Load vehicles for delivery and installs verifying for accuracy and correct documentation.
  • Perform weekly maintenance check of all company vehicles.
  • Clean all company vehicles on a monthly basis or as needed.
  • Ensure all company vehicles have all necessary documentation required.
  • Coordinate vehicle use by employees.
  • Provide delivery service to customers/suppliers as needed (in town and out when required)
  • Cooperate with sales staff regarding any delivery status changes
  • High School Diploma or equivalent
  • Minimum 1-year experience in shipping, receiving, manufacturing environment with light maintenance experience
  • Analytical problem solver with ability to apply common sense and make sound process recommendations
  • Knowledge of workplace safety and safe lifting and handling procedures
  • Very organized.  Attention to detail is critical
  • Good manual dexterity (hand, hand with arm, two hands) and multi-limb coordination
  • Ability to work independently and complete daily activities according to work schedule
  • Ability to lift and move heavy objects (up to 50 lbs.)
  • Excellent interpersonal and communications skills
  • Quick learner with ability to learn and use company’s database program
  • Team player – willing to help where needed
  • Excellent planning and multi-taking skills
  • Knowledge of First Aid and CPR preferred
  • Valid G driver’s license and a good driving record
  • Familiar with use of common and hand power tools
  • Asset if you are mechanically inclined
Working Conditions:
  • Monday – Friday 8am – 4:30 pm (hours may vary) with opportunity for occasional overtime
  • Fast paced work environment with plenty of interruptions
  • Exposure to high noise levels at times
  • Must wear protective equipment when required
  • Performing physical labour
  • Repetitive tasks and standing for extended periods of time
  • Occasional work with a variety of hand and power tools
  • Use of personal protection equipment is required (safety glasses, dust mask, earplugs etc.)
  • No open-toe shoes on the production floor
