Summary
The File Clerk will work in our downtown London, Ontario office as part of a specialized team within the Insolvency Department, completing a variety of administrative duties to assist the other members of the Insolvency and Payment Processing team. The File Clerk will work through physical and electronic documents within the portfolios, ensuring all materials are scanned and entered into the databases accurately. The File Clerk will maintain, organize, and update the filing system, and remove and shred out of date materials from our records.

Job Duties
  • Retrieve, sort, and organize company mail, cheques and email
  • Distribute documents to the appropriate departments
  • Scan materials, and update databases accurately and accordingly
  • Track post dated cheques received.
  • Maintain, organize, and update filing system
  • Remove and shred out of date materials
  • Add or remove data from file records
  • Print deposit slips and match appropriate cheques for deposit.
  • Point of contact for deliveries and pickups for the London office.
  • Log returned mail for appropriate departments.
  • Other administrative duties as required by business need
Requirements
  • High school diploma, GED or equivalent 
  • Post-secondary education in Business Administration or equivalent experience is an asset
  • Previous experience in a professional environment and experience in the Insolvent industry are assets
  • English/French bilingualism is an asset
  • Knowledge of MS Word, Excel, and previous experience with Databases are assets
  • Exceptional customer service skills 
  • Sound judgement and analysis to arrive at recommendations or conclusions
  • Ability to adhere to confidentiality when working with sensitive information
  • Ability to work with strong attention to detail and time lines
  • Ability to follow through and complete overlapping projects
  • Ability to interpret and implement company policies and procedures
  • Ability to build and maintain lasting relationships with corporate departments and key business partners
  • Ability to work independently as well as within a team/group
  • Effective communication skills with individuals at all levels of the organization, both verbal and written
