Job Description

SIGMA Assessment Systems is looking for a full-time Administrative Assistant. The position will involve assisting the customer service team and learning our various systems to help our customers get the information they need. The Office Assistant will also spend a quarter of their time assisting the Vice President with her calendar and scheduling meetings.

After training and learning our systems, the successful candidate will be given opportunities to manage projects and influence important outcomes related to the selection and development of our clients’ key personnel, including executives. There is room for advancement with this position. The successful candidate will report directly to our office manager and help with the tasks listed below.

To start, the successful candidate will do the following:
  • Represent the company to clients in a positive, accurate, and professional manner through phone and email communication
  • Learn our software and online testing systems, to provide support to clients and take orders
  • Proofread/edit files and content, update formatting in Word and PowerPoint
  • Print/scan files as required
  • Assist in management of internal projects
  • Package and ship orders
  • Assist VP with managing calendar and scheduling meetings
  • Attend meetings and take minutes
Roles and responsibilities that will be added
  • Support with preparation of client deliverables
  • Client relationship management
  • Assist with project planning
 
Qualifications
  • College Diploma/Certificate in Office Administration, Business or equivalent diploma/certificate is required
  • 2 years experience in administrative role
Competencies
  • Superb organizational skills with strong emphasis on attention to detail
  • Excellent communication and interpersonal skills with an outstanding approach to customer service
  • Strong computer skills with proficiency in Microsoft suite, specifically Word and PowerPoint
  • Dependable, with a strong work ethic and passion to learn
  • Ability to take the initiative, prioritize and manage time effectively
  • Ability to work both independently, and as part of a team
  • Self-discipline to ensure projects are completed in a timely manner
Hours: 9-5
Compensation: Negotiable
