Job Description

What Will You be Doing?
This role will be based out of our London office in West 5 and will attract customer service oriented individuals whose warmth and welcoming nature shine through even in email and phone correspondence.

As one of two Appointment Coordinators at Focus Financial, you will in most cases be the first point of contact for clients in the appointment booking process. You will implement our client outreach initiatives and be directly responsible for the number of appointments our advisors hold each week. Using our database to determine daily and weekly contacts needing to be made, you will call or email clients to coordinate the best time for them to meet with their advisor. While most contacts will be for existing clients, there will be times you are contacting a lead assigned to us by Sun Life. We do not cold call.

Your responsibilities, for which you will receive training, will include but are not limited to the following:
  • Incoming/outgoing calls and emails to schedule appointments between existing clients or qualified leads and their financial advisor. No cold calling.
  • Managing Outlook calendars and Mail
  • Using list views in our database, Salesforce, to determine daily tasks and update their status accordingly.
  • Updating Salesforce with records of client conversations and following all team Salesforce processes
  • Confirming Next Day's appointments and rescheduling as needed
  • Contacting Sun Life leads to assess appointment need and booking them when appropriate. 
  • Running client outreach initiatives such as mailouts, email blasts and client activation projects 
  • Providing absence backup assistance to other team members, particularly front reception.
  • Filing—both hardcopy and electronic.
  • Maintaining professional business conduct/ confidentiality at all times; completing annual Sun Life Financial compliance courses and any additional training that comes out throughout the year.

Key Attributes We're Looking For
  • You're eager to learn and can handle detailed processes with accuracy after training.
  • You can speak and write/type with correct grammar, poise, and professionalism and your intended meaning is not often mistook.
  • You like being part of a team-- we do puzzles, have social gatherings, go out to eat, etc and would love for you to join us.
  • You're comfortable with computers, specifically PCs and Microsoft Office programs.
  • You're punctual, reliable, trustworthy.

 The Fine Details
  • While you will be employed by Focus Financial Solutions Inc., you must successfully complete Sun Life’s credit and criminal backcheck and selection paperwork in order to secure this position. This is because we are contracted with Sun Life Financial, work with their clients and have access to their systems.
  • $36,000-$40,000/year dependent on experience and qualifications (37.5 hour work week)
  • 6% vacation accrual (3 weeks per calendar year)
  • Benefit plan (health & dental) after 3 months’ full-time employment
  • Group RSP or TFSA with 2% matching after 1 year of full-time employment
  • Mon-Thurs in office 9-5. Fridays remote 9-5, provided our Work from Home policy can be followed.
