Position Summary Purchasing Administrator’s primary responsibilities will be to work with the Purchasing Coordinator to order and track the purchasing of production supplies; ensure on hand inventory meets demand; and follow up with suppliers regarding issues of quality or quantity. This role is responsible to identify / resolve any supply chain issues from suppliers while also performing purchasing related analytics to drive better decision making and improve efficiency. This role reports to the Purchasing Coordinator.
Job Description/ Responsibilities
Request quotes from vendors to get the best possible prices on materials or services as required
Analyze inventory needs based on set minimum inventory and maintain set levels.
Create and submit purchase orders.
Track purchase orders to ensure on time delivery.
Ensure all information regarding purchases is documented and filed according to accepted practices
Maintain purchasing and inventory tracking spreadsheets, and update relevant databases with receipt of materials.
Coordinate the delivery schedules with the cooperation of the warehouse departments.
Monitor on hand inventory levels of production materials and supplies.
Follow up on issues of quality or shipment quantity discrepancies with the supplier.
Manage and communicate any changes in the purchasing of materials to the appropriate parties.
Cycle counting of inventory
Provide product, storage and order information to all internal departments as required.
Make alternate arrangements in the event of shortages or delayed deliveries to minimize impact on the organization.
