United Way is in search of a Special Events Coordinator to work closely with our Development team, leading, executing and evaluating special events that support our mission and work in the community. This team member will ensure that financial and participation targets are achieved, and develop initiatives that will increase donor retention, and engage new supporters to United Way.

Primary Responsibilities
  • Work with team members, volunteers, donors, sponsors and vendors to develop and execute, successful, meaningful events and experiences
  • Manage the development, implementation, monitoring and evaluation of all activities related to special events
  • Identify, design and implement new fundraising opportunities to increase revenue
  • Ensure financial targets are met, and create initiatives to increase donor retention and acquire new supporters
  • Manage event budgets, including actual and forecasted; manage vendor contracts, including obtaining bids and negotiating contracts
  • Work with the Communications Team on media logistics and event collateral; organize and maintain event supplies
  • Assist with the recruitment, training and retention of event volunteers, ensuring they have a meaningful experience
  • Work with team members to provide the information and support required to meet their respective objectives
  • Manage related administrative and office operations associated with the role
  • Requires some heavy lifting when setting up and tearing down event venues
  • Post-secondary credentials in a related field (marketing, public or community relations, event planning)
  • Minimum three years hands-on related experience; knowledge of, and experience in, the fundraising and the non-profit sector
  • Thrives in high energy, busy environments while maintaining professionalism and sound judgement
  • Exceptional project management and time management skills
  • Experience with budget management and vendor negotiations
  • Strong communication, relationship building and interpersonal skills
  • Ability to adapt and find creative solutions in a changing work environment with multiple deadlines and pressures
  • Demonstrates initiative and flexibility
  • Ability to flex work schedule to attend meetings and special events which occur before or after regular office hours
  • Proficient in MS Office Suite; adept social media user
  • Experience with event planning software and donor database applications
  • Must be in possession of a valid Ontario driver’s license and access to a motor vehicle
